Associate providing secretarial, administrative, and logistical support to the National Robotics Programme Office, focusing on grants administration, event coordination, and stakeholder engagement.

Key Responsibilities
- Provide general secretarial, administrative, and logistical assistance to the team managing the Embodied AI efforts. E.g. meeting scheduling, material collation, venue arrangements, security clearance, agenda preparation, tracking follow-ups, making travel arrangements.
- Support R&D Grants Administration and Management, including the use of the grants management system. Training and guidance will be provided.
- Assist with requests and queries from internal and external stakeholders (including outside A*STAR with companies, agencies and universities, etc) e.g. to coordinate or deconflict meetings or visit arrangements with multiple parties.
- Coordinate and organize events, meetings and engagements, including checking on logistical arrangement (IT, audio support, maximum participant size of venue, etc).
- Support the teams engagement with NRPO advisors, in terms of scheduling, travel arrangements, logistics and claims processing when they convene in Singapore.
- Manage goods receipt and procurement requests for the team, ensuring compliance, accuracy, and timely fulfilment to ensure smooth operations.
Requirements
- Minimum Diploma in any discipline, with 3-5 years of relevant working experience.
- Experience in government-related R&D grants or business grants would be an added advantage, but not mandatory.
- Good communication (written and verbal) and interpersonal skills, able to handle pressure during peak busy periods to support the team's admin needs.
- Highly resourceful, proactive, with high independence to work around ambiguity and self-organise to drive positive outcomes from assigned tasks.
- Proficient in Microsoft Office Suite (particularly Outlook, Word, Excel, PowerPoint and Teams).
