Key Responsibilities

  • Provide secretarial support to Head/ALC and members of the ALC Senior Management Committee (SMC).
  • Provide administrative support to Head/ALC and department staff, planning and coordinating faculty recruitment, contract renewals, promotion & tenure processes and year-end review exercise.
  • Provide supervision to 3 MSOs and oversee matters related to their work areas.
  • Oversee financial matters, such as annual budget and workplan submission, half-yearly financial reporting, monthly vetting of Vote Control Register, endorsement of Purchase Requests, approval of claims etc. in the department.
  • Oversee and approve part-time lecturers’ claims submissions and related matters.
  • Oversee examination-related matters, such as submission of question papers, marks and appeal for marks review in the department.
  • Oversee other administrative duties such as SSOT (Student travel tracker) and academic workload system .
  • Collate information required by other admin departments.
  • Serve as the department’s PDPA Champion.
  • Support key events such as the Teachers’ Investiture Ceremony (TIC) and/or NTU Convocation.

Requirements

  • A University degree, preferably in Business Studies.
  • 3 to 5 years of relevant experience, with some supervisory experience.
  • Good communication skills, both written and oral.
  • Meticulous and high attention to details.
  • Resourceful, self-driven, proactive, strong problem-solving skills, and the ability to work independently.
  • Good organisational and planning skills.
  • A good team player who works well with various stakeholders.
  • Ability to work well under pressure and within tight deadlines.
  • Adaptable to change.
  • Proficiency in Microsoft Office applications, especially Word and Excel.
  • Familiarity with digital tools and an ability to leverage technology for process optimisation.
