Key Responsibilities

  • Manage and coordinate the diaries of 2-3 Partners including scheduling international virtual meetings across different time zones
  • Screen emails, respond, and/or action as necessary using Lotus Notes and firm-sponsored technology devices
  • Prepare expense claims and weekly timesheets adhering to Accounts Payable and firm deadlines
  • Arrange and coordinate multi-leg travel bookings, itineraries, and required visa/passport documentation
  • Actively build and develop internal and external relationships with clients and their Executive Assistants
  • Compile, update and maintain client mailing lists using CRM and track market information via Factiva
  • Prepare or amend correspondence, reports, and PowerPoint presentations using firm branding and templates
  • Manage administration of meetings and roundtables including invitations, agenda preparation, and minute taking
  • Develop and maintain hard and soft filing systems in accordance with Records Management best practices
  • Review the work of and actively support junior or less experienced Executive Assistants

Requirements

  • Minimum Diploma or Private Secretarial Certificate
  • 5 to 6 years of relevant experience in a secretarial or executive assistant role
  • Proficiency in MS office applications
  • Good command of written and spoken English
  • Strong interpersonal and communication skills to build relationships with senior leaders
  • Ability to multi-task as well as work independently and under pressure
  • Strong organizational skills and ability to function effectively as a team player
  • Detail oriented and possessive of proactive initiative
  • Working knowledge of applicable firm quality, risk, and confidentiality policies
  • Experience with Lotus Notes management and firm sponsored technology devices
